Managing Email Queues

 

Normally if you send an email, it will go into your Outbox and once sent, will end up in your Sent folder. Sending large numbers of email, each one different, requires a similar, but slightly more sophisticated system.


Overview
The first thing that happens when you click Send is that all the emails to be sent are created and put in the Queue. Two checks are made during this process:

Existing email address
In the Members Book, you can store both a Home email address and a Work email address. By default, the email program will use the Home email address, assuming that one exists. However, by going to Options and selecting Broadcast Email, you can change the address which is used.

 

Valid email format
All email addresses must conform to a basic format, regardless of the actual name or domain that it is based upon. If the email address does not meet this, it will be put in the Errors list.

Once the queue has been created, each one in turn is sent and then placed in the Sent list. If for any reason an email encounters an error during sending, it will be placed in the Errors list.

Note: The Queue, Sent and Errors lists are saved when you exit the program and will be restored next time you load the program.

Queue
Usually, all the emails will be sent correctly and the queue will be empty once the send process is done. However, if the program cannot connect to your mail server, for instance, or your internet link is disconnected during sending, then emails may remain in the queue.

Resubmit
This will try and resend any messages in the Queue which are ticked. If you only want to resent a selection, you can tick or untick a message as required.
Clear Queue
Delete all items in the Queue.
Delete Selected
Tick which ones you want to delete.
Select All
Select all messages by putting a tick against them.
Unselect All
Unselect all messages by removing the ticks against them.
View Item
This allows you to see the message content and also to edit the email address.

Sent
This will contain all emails that have successfully been sent and you will probably need to empty this from time to time.

ClearLog
This will remove all messages.
Delete Selected
This will delete the selected message.
View Item
This allows you to see the message content.

Errors
This will contain any emails that could not be sent.

Clear Errors
This will remove all messages.
Return Error to Queue
If you can see from the email address why the email was rejected, you can return it to the Queue, select View Item from the Queue tool bar, change the email address and then Resubmit.
